Your Stimaro Subscription
This article covers Stimaro billing mechanics, how to change your subscription, and how cancellation works.
Monthly vs. Annual Billing
Stimaro offers both monthly and annual billing.
Monthly billing: Pay each month at the listed monthly rate. Maximum flexibility.
Annual billing: Pay for 12 months upfront and receive a discount off the monthly rate (annual customers save 10% compared to monthly billing).
Both options offer the same product. The choice is about cash flow preference and pricing preference. Most customers find annual makes sense once they've trialed the product and know Stimaro fits their workflow.
You can switch between monthly and annual at any tier change. To change your billing cycle, email [email protected].
How Billing Works
Stimaro invoices customers through QuickBooks. Here's the flow:
- Invoice generation. We generate and send an invoice through QuickBooks for your subscription period.
- Invoice delivery. You receive the invoice by email at your billing contact address. The invoice includes the amount due, payment methods, due date, and Stimaro's bank details for transfer.
- Payment. You pay by bank transfer (ACH or wire) or check. We don't accept credit card payments at this time.
- Payment confirmation. Once payment is received, Erin marks the invoice paid and sends a receipt.
Invoices for monthly customers are issued at the start of each billing cycle. Annual invoices are issued once per year, with optional reminders ahead of renewal.
If you have specific accounts payable processes at your company (PO numbers, batch billing, specific approval workflows), let us know during onboarding and we'll work with your system rather than against it.
Changing Your Subscription
To change your subscription — upgrading to a higher tier, downgrading to a lower tier, or moving between monthly and annual — your account admin emails us at [email protected].
Upgrades
If you upgrade mid-cycle (for example, Starter to Pro halfway through a month), the change takes effect immediately. Your next invoice will reflect the new tier, prorated for the partial period at the higher rate.
Common reasons to upgrade:
- You're approaching your tier's seat limit
- You need a feature available only on a higher tier (Pro custom builds, Enterprise integrations)
- Your team has grown
Downgrades
Downgrades take effect at the start of your next billing cycle, not immediately. This ensures you've fully used what you've paid for.
Before a downgrade, you may need to:
- Remove team members to fit within the lower tier's seat limit
- Confirm you're not using features unavailable at the lower tier
We will walk through what changes when you downgrade and help you transition smoothly.
Cancellation
Cancellation takes effect at the end of the then-current billing period. You will retain access to Stimaro through the end of the paid period.
Stimaro does not offer early termination — once you've committed to a billing period (monthly or annual), the full period applies. Cancelling does not entitle you to a refund of any pre-paid time.
What Happens to Your Data
After cancellation:
- Your account remains accessible through the end of your current billing period
- You may export your data (estimates, projects, cost libraries) at any time before access ends — email [email protected] for help with exports
- After 90 days from the cancellation date, Stimaro deletes your data in accordance with our retention policies
If you reactivate within the 90-day post-cancellation window, your data is restored.
Free Trial Reference
If you're currently on a free trial (not a paid subscription), different terms apply. See our Trial Terms for the full policy. Briefly:
- 14-day evaluation period (extendable to 30 days at our discretion)
- No payment method required
- No automatic conversion to paid — to continue after the trial, you must execute an agreement and order form
- 30-day data retention after trial expires
Late Payment
If an invoice goes unpaid beyond its due date, you'll receive a reminder email within a few business days. Continued non-payment may result in:
- A second reminder after 14 days
- Suspension of access after 30 days past due
- Termination of the subscription after 60 days past due
If you anticipate a payment delay, email us proactively. We're happy to work with reasonable timing requests, but silence after a missed invoice is the path to suspension.
Refunds
Per our Terms of Service, all fees are non-refundable. Cancelling a subscription does not entitle you to a refund for any unused portion of the paid period.
The only exception is if we materially breach our agreement — for example, if Stimaro becomes unavailable for an extended period or we fail to deliver on the core product. In those cases, contact us and we'll work with you on a fair resolution.
